There is an opportuniy to work more shifts as they are needed. The Weekend & Holiday Receptionist provides an atmosphere of warmth and welcome, as well as specific services to residents and staff of Valley Village Retirement Community. This is a great position for someone looking to supplement their income or anyone wanting flexible part time hours! Must be available for 8-hour shifts every 4th weekend and rotating holidays (some holidays include Mondays or Fridays that are "observed" if the holiday falls on a weekend. On-Call as needed. A successful candidate must emphasize customer service; demonstrate initiative, professionalism and integrity; exercise confidentiality in all areas of performance; understand, apply, and comply with all State and Federal Fair Housing laws, as well as company policies and procedures.
SPECIFIC DUTIES
1. Answer incoming telephone calls, screen calls, take messages, and distribute messages in a timely manner to the appropriate personnel. 2. Greet guests and those inquiring and provide them with information about the property, including the brochure and application. 3. Call for maintenance regarding repairs on washers/dryers and elevators as required. 4. Generate and record work orders following procedures. 5. File completed work orders and inspection sheets when assigned. 6. Track meals, make calls for residents who miss two or more meals, ask Resident Services to do health checks as needed. 7. Record and distribute Sunday Bag Lunch. 8. Record information for residents out of town, in the hospital, etc. and guest visitors. 9. Create signs and items for lobby desk regarding information and programs. 10. Reserve Social Center following guidelines for reservations. 11. General office tasks, such as making copies, filing, sorting, organizing, etc. 12. Log and notify residents of packages delivered to the Business Office. 13. Other duties as assigned by the Director of Administration & HR or the Executive Director.
MINIMUM QUALIFICATIONS, SKILLS, AND EXPERIENCE
1. Prefer one year recent experience dealing with the public in a fast-paced environment. 2.
Ability to:
relate to an aging population; maintain a respectful and professional demeanor at all times, particularly when providing customer service; demonstrate compassion and patience when dealing with residents and prospective residents, visitors, vendors, and the general public. 3. Maintain confidentiality with regard to operations, resident/prospective resident information, and other sensitive information. 4. Ability to speak, read, write, and understand English and to follow verbal and written instructions from supervisor. Ability to multi-task and to meet project deadlines. 5. Ability to hear on the telephone to communicate with residents. 6. Ability to use Microsoft Office and Excel. Ability to use email and online calendars to communicate with other office staff. 7. Must be available to work on weekends and holidays.
