Job Description Position Overview:
UFit is seeking a friendly, organized, and proactive Receptionist / Client Coordinator to be the first point of contact for our families. This role plays a key part in creating a welcoming environment, managing daily operations at the front desk, supporting client onboarding, and ensuring an excellent overall client experience.
Key Responsibilities:
Greet and check in/out clients, families, and staff in a professional and welcoming manner Manage front desk operations and maintain a clean, organized, and positive environment Answer phone calls, texts, and emails in a timely and professional manner Reach out to new leads and schedule 30-minute consultations Conduct 30-minute consultations with families, explain UFit services, and guide them through the onboarding process Follow up with leads who have not yet converted into active clients Coordinate and manage client schedules, including rescheduling, cancellations, and make-ups Ensure all waivers, paperwork, and authorizations are properly completed and up to date Maintain accurate client records and attendance logs Communicate with coaching staff regarding daily schedules and updates
Client Experience & Relationship Management:
Build strong relationships with families and ensure a high level of satisfaction Check in with parents regularly to gather feedback and ensure positive experiences Handle basic questions, concerns, or issues professionally before escalating to management when needed Additional Responsibilities (as needed): Assist with maintaining session flow and identifying scheduling gaps Support event coordination, sign-ups, and front desk operations during events Assist with light administrative tasks, including data entry and tracking attendance or client information Help promote programs, camps, and events to current and prospective families
