Job Description
Position OverviewA growing East Bay organization is seeking a professional and customer-focused Front Desk Coordinator to serve as the first point of contact for visitors, clients, vendors, and employees. This role is responsible for creating a welcoming office environment while supporting the day-to-day administrative operations that keep the office running efficiently.
The ideal candidate is highly organized, proactive, detail-oriented, and comfortable managing multiple priorities in a fast-paced environment. Strong communication skills, professionalism, and a service-minded approach are essential to success in this position.
Day-to-Day ResponsibilitiesGreet and assist visitors, clients, vendors, and employees with professionalism and enthusiasm.
Answer, screen, and direct incoming calls using a multi-line phone system.
Respond to general inquiries and provide exceptional customer service.
Maintain visitor logs and ensure guests are properly checked in and directed.
Manage incoming and outgoing mail, packages, and deliveries.
Coordinate conference room scheduling and meeting logistics.
Prepare meeting spaces and assist with internal events as needed.
Ensure the reception area, conference rooms, and common areas remain organized and professional.
Perform data entry, filing, document scanning, and record maintenance.
Assist with preparing correspondence, reports, and presentations.
Support various departments with administrative projects and special assignments.
Monitor and maintain office supply inventory.
