Job Description

Overview We are seeking a welcoming, organized, and detail-oriented Office Receptionist to serve as the face of our landscaping company. This role is responsible for handling the front desk operations , incoming communications, assisting with administrative tasks and supports office staff, handles internal mail distribution, and maintains office inventory. Additionally, this position plays a crucial supporting role for our Human Resources department by assisting walk-in applicants and providing essential administrative support across various company departments.
Duties & Responsibilities Front Desk & Communication Phone Management:
Answer, screen, and direct external phone calls professionally, providing accurate company information or routing callers to the appropriate staff members.
Visitor Greeting:
Welcome clients, vendors, contractors, and visitors with professional and friendly demeanor, ensuring all guests sign in and follow safety protocols.
Inquiries Handling:
Address general inquiries about landscaping services or office locations in person, via phone, or through email.
Human Resources Support Applicant Assistance:
Greet walk-in job applicants, guide them through completing job applications, and review submissions for completeness.
Initial Screening:
Conduct basic initial intake for walk-ins, collecting resumes and forwarding qualified candidates to the HR team.
Onboarding Support:
Assist HR with preparing new-hire packets, organizing personnel files, and scheduling interviews.
Inventory & Office Administration Supply Management:
Monitor and maintain inventory levels for office supplies, breakroom commodities, and safety gear, placing orders as needed while staying within budget.
Mail-Delivery Handling:
Sort, pick up, and internally distribute incoming mail, packages, and inter-office documents daily. Outgoing mail preparation included.
Mail-External:
This position will occasionally commute to the post office or shipping logistic companies like FedEx or UPS with own vehicle.
Cross-Department Support:
Provide general administrative assistance with operations, project management, and estimating teams (e.g., data entry, filing, copying, document formatting).
Facility Coordination:
Maintain a clean, professional, and organized reception area, conference rooms, and common office spaces. Coordinate with vendors for office equipment maintenance (copiers, printers, phone systems, IT).
Landscaping-Specific Professional Duties Client Intake & Logging:
Receive inbound project inquiries and service requests, logging client contact information and project details into the company project management software.
Vendor Check-In:
Manage compliance tracking for visiting temporary landscape workers (e.g., verifying insurance certificates or signing in visitors per safety regulations).
Safety:
responsible for distributing safety documentation to personnel and filing safety topics weekly. Attendance & Punctuality
  • Reliable and punctual attendance is essential for this role to ensure front desk is always covered.
  • Arrive at the front desk promptly at the official start of business hours.
  • Maintain consistent and dependable daily attendance during assigned shifts.
  • Ensure front desk coverage is arranged before stepping away. Required Qualifications
Experience:
1 to 3 years of administrative, receptionist, or customer service experience (experience in construction, landscaping, or a trade industry is a plus).
  • Friendly, outgoing and customer-focused personality.
  • Ability to multitask and stay organized in a fast-paced environment.
  • Team oriented mindset with a willingness to help wherever needed.
Education:
High school diploma or equivalent; associate degree in business administration or HR is preferred.
    Communication:
    Exceptional verbal and written communication skills with a professional, warm phone etiquette.
      Tech-Savvy:
      Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and the ability to quickly learn industry-specific scheduling or CRM software.
        Organizational Skills:
        Excellent multitasking abilities, time management, and attention to detail in a fast-paced environment.
          Bilingual:
          Bilingual in English/Spanish.
          Work Environment:
          • 40+ hours per week; Variable Snow hours
          • Primarily an indoor office environment sitting at a front desk.
          • Ability to operate standard office equipment (computers, multi-line phones, copiers).
          • Lifting of packages, office supplies, or inventory items (up to 35 pounds).
          • Noise levels in the office workplace are occasionally high.
          Pay:
          $25.00 - $26.00 per hour
