Job Description

SUMMARY The Receptionist manages the front desk and provides administrative and clerical support to CME. This position serves as the first point of contact for visitors, clients, vendors, and employees and is responsible for creating a professional, welcoming, and helpful experience. The Receptionist coordinates front-desk activities, including greeting visitors, answering and directing phone calls, distributing correspondence, maintaining meeting schedules, and supporting general office operations. This position requires a professional and welcoming personality, strong organizational and multitasking skills, attention to detail, and the ability to prioritize competing tasks.
DUTIES AND RESPONSIBILITIES
Greet, welcome, and assist visitors and clients at the front desk; direct and announce visitors to the appropriate staff member. Answer and screen incoming phone calls and direct calls to the appropriate person or department. Maintain meeting and conference room reservation schedules, including catering arrangements, and distribute schedules to appropriate staff. Organize and coordinate employee meetings, including room setup and necessary supplies. Receive, sort, and distribute incoming mail daily. Perform general clerical duties, including filing, photocopying, scanning, mailing, and other administrative tasks as needed. Provide clerical and administrative support to employees and managers as requested. Coordinate and acknowledge employee birthdays and related celebrations. Maintain the cleanliness and organization of the front office, breakroom, and conference rooms. Monitor and restock breakroom supplies, including coffee, water, cups, plates, and other necessary items. Monitor, maintain, and organize office supplies and notify management when replenishment is needed. Assist with other administrative and office-support activities as needed. Perform other related duties and responsibilities as assigned by management.
QUALIFICATIONS
Strong written and verbal communication skills. Professional, friendly, and welcoming demeanor. Professional attitude and appearance. Strong multitasking, organizational, and time-management skills with the ability to prioritize tasks. Ability to communicate effectively with employees, customers, vendors, and visitors. Ability to operate common office equipment, including computers, telephones, printers, scanners, and copiers. Ability to maintain confidentiality and exercise good judgment when handling company or employee information. Ability to work independently while also supporting a team environment. Ability to drive as needed for company-related errands or activities. Familiarity with Google Workspace is a plus. Previous receptionist, customer service, or administrative experience is preferred.

PHYSICAL DEMANDS AND WORK ENVIRONMENT
Frequently required to sit and work at a computer or front desk. Occasionally required to stand and walk throughout the office. Occasionally required to reach, handle, and utilize hand and finger dexterity when operating office equipment and handling documents or supplies. Occasionally required to lift, carry, or move office supplies and materials. May be required to move between office areas, meeting rooms, breakrooms, and other company locations as needed. Work is primarily performed in an office environment.

$17.00
