Fort Collins, CO Job Details Full-time $18 - $24 an hour 10 hours ago Benefits Paid holidays Paid time off Flexible schedule Qualifications Customer communication Scanning Administrative experience Phone etiquette Full Job Description We are a small, established CPA firm in Fort Collins looking for a dependable, organized, and personable Front Desk Receptionist / Administrative Assistant to join our team. This is more than a traditional receptionist position. Our front desk is an important part of keeping the office running smoothly and our clients taken care of. The ideal candidate is someone who enjoys working with people, pays close attention to details, is comfortable with clients, and can stay organized while juggling multiple tasks and interruptions. Prior experience in a tax or accounting office is a plus, but not required. We are happy to train the right person who is dependable, willing to learn, and takes pride in their work. What You'll Do Answer incoming phone calls and assist clients with general questions Accurately route calls, messages, and client requests to appropriate staff Greet and assist clients in person Schedule appointments Receive, organize, and route client tax documents and correspondence Log incoming tax returns and help track their progress through the office Track tax notices, deadlines, and other time-sensitive client matters Assist clients with our online portal and electronic document delivery Scan, organize, and maintain digital client records Assemble completed tax returns and prepare them for client delivery Assist with quarterly estimated tax payment vouchers and information Prepare routine letters, correspondence, and administrative documents Maintain accurate client information and office records Assist with annual tax-season mailings and other office projects Maintain office supplies and help keep the front office organized Provide general administrative support to our accountants and tax preparers What We're Looking For We're looking for someone who is: Friendly, professional, and comfortable working with a variety of clients Dependable and punctual Highly organized with excellent attention to detail Able to manage multiple priorities and frequent interruptions Comfortable working independently and taking ownership of assigned tasks A quick learner who is comfortable learning new software and office procedures Proficient with computers, email, Microsoft Word and Excel, and PDF documents Able to communicate clearly and professionally, both verbally and in writing Comfortable working in a deadline-driven environment Able to maintain confidentiality when handling sensitive client and financial information Experience in a CPA, tax, bookkeeping, financial, legal, or other professional office environment is a plus. Previous experience with tax software, client portals, document-management systems, or similar programs is also helpful, but not required. Schedule This is a year-round position with a predictable daytime schedule. Tax Season - January through April 15 Approximately 40+ hours per week, with additional hours occasionally needed around major tax deadlines. Outside of Tax Season - Half-Day Fridays!
Monday-Thursday:
8:00 AM-5:00
PM Friday:
8:00 AM-12:00 PM We also offer additional scheduling flexibility during the summer and around holidays.
