The Role:
We are seeking a dependable, organized, and compassionate Front Desk Associate/Receptionist to support the daily operations of our specialty physical therapy clinic focused on headache and migraine treatment. This role is ideal for someone who enjoys helping people, thrives in a fast-paced healthcare environment, and can balance administrative responsibilities with exceptional patient service. The Receptionist serves as the first point of contact for patients and plays an essential role in creating a welcoming, professional, and supportive clinic experience.
Key Responsibilities:
Greet and welcome patients to the clinic with warmth and professionalism. Manage scheduling of appointments and following up with patients. Handle phone and in-person inquiries, providing patients with the information they need while maintaining confidentiality. Process payments and understand the basics of cash handling and billing. Utilize various software systems for scheduling, billing, and patient management. Document patient interactions, updates, and notes within the CRM Create and distribute superbills accurately and efficiently Order and organize office and clinical supplies Prepare patient welcome gifts and care packages Perform routine cleaning and upkeep of the entire office environment Support the clinic's mission and culture, actively participating in team meetings and clinic initiatives. Assist with administrative and miscellaneous office projects as assigned
Qualifications:
Previous experience in a front desk, customer service, or sales role preferred. Strong interpersonal and communication skills, with a comfort in interacting with patients both over the phone and in person. Ability to multitask, pay attention to detail, and manage time effectively. Proficient in computer use and navigating different software platforms. A positive attitude and the ability to work as part of a team. Enthusiasm for the clinic's mission and a desire to contribute to a positive patient experience. Interest in long-term career opportunities and growth within the company.
