SUMMARY The Front Desk Assistant is the initial point of contact for many visitors, people served, stakeholders, and employees of PDI and is responsible for many diverse tasks that contribute to PDI's smooth operation. The Front Desk Assistant must have a friendly, engaging personality and take the initiative to gain knowledge of PDI events, programs, and employees. This position will be responsible for various tasks and projects. Customer-oriented and service-driven. Must focus on client needs and be passionate about exceptional service.

ESSENTIAL DUTIES AND RESPONSIBILITIES
Summary of Duties:
Communication:
Interact with people served, customers, vendors, employees, and stakeholders to provide accurate information and answer questions.
Friendly Demeanor:
A friendly ability to consistently interact with others in a warm, approachable, and respectful manner. It includes being polite, positive, and attentive; communicating clearly; and making colleagues, clients, and visitors feel welcomed and valued at all times.
Visitor Management:
Greet visitors, maintain visitor logs, and direct them to appropriate locations.
Office Administration:
Open and close the office, sort and route incoming mail, handle office supplies, and operate office equipment (e.g., copiers, faxes, phones, and computers).
Record Keeping:
Maintain accurate records and emails related to people served and employees; compile, copy, sort, and file documents as needed by HR.
Correspondence Management:
Screen and route calls, voicemails, emails, and other communications; manage outgoing mail and apply postage.
Support HR and Admin:
Assist HR with coordinating CPR, first aid, and QMAP classes, and support administrative and HR tasks.
Security:
Monitor security cameras for safety, and manage volunteer logs and processes.
Additional Tasks:
Support vehicle management, prepare keys and forms, check emails, and distribute pay stubs. Maintain all spreadsheets for checks, donations, and QMAP classes.
General Support/Flexible:
required to be open and adaptable to change. This includes adjusting to shifting priorities, learning new tasks or procedures, supporting team needs when required, and maintaining a positive attitude when expectations, schedules, or responsibilities evolve.
VEHICLE USE
This position may require that you drive a personal vehicle or PDI vehicle on PDI business. Current, valid driver's license and insurance required.
SUPERVISORY RESPONSIBILITIES
The Front Desk Attendant has no supervisory responsibility.
MINIMUM REQUIREMENTS FOR ALL PDI POSITIONS
You must be age 21 or over to work at PDI. You must also pass a pre-hire drug and background screen as well as random drug screens that may occur at any time and without notice while employed by PDI. You must be computer-literate, comfortable with technology with well-developed oral and written communication skills. You must be able to complete and pass First Aid, CPR, and other required training. If the position requires you to drive a PDI vehicle on company business, then you must possess a valid driver's license and agree to a review of your motor vehicle record for addition to PDI's authorized drivers list. In addition, if the position authorizes you to drive your vehicle on PDI business, then you must provide proof of automobile insurance and proof of required automobile insurance limits.
REQUIRED EDUCATION AND EXPERIENCE
Associate's Degree ("A.A.") or equivalent from a two-year college or technical school; or six months to one-year related experience and/or training; or equivalent combination of education and experience.
LANGUAGE ABILITY
Able to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of employees of the organization.
MATHEMATICS ABILITY
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent, and to draw and interpret bar graphs.
COMPUTER SKILLS
To perform this job successfully, an employee must know Microsoft Office and Microsoft Publisher software, Microsoft Outlook, and be able to gain knowledge of various vendor software solutions. Confidential Must demonstrate the ability to handle sensitive and confidential information with discretion and professionalism. This includes maintaining privacy, exercising sound judgment, adhering to organizational policies, and ensuring that all confidential matters are protected at all times.
REASONING ABILITY
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems, issues, and situations involving several concrete variables in standardized situations.

The noise level in the work environment is usually quiet, but can become elevated and hectic from time to time.
POSITION TYPE AND EXPECTED HOURS OF WORK
This is a non-exempt position. Expected hours of work are 7:30 a.m. to 4:00 p.m. Monday through Friday. A 30-minute unpaid meal period is required daily. Hours may vary on days with events or issues, and you will need to be flexible with hours at a moment's notice.
PHYSICAL DEMANDS
The physical demands described here are representative of those that must be met by an employee to perform the essential functions of this job successfully. The Front Desk Attendant must regularly lift and/or move up to ten pounds; frequently lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception, and the ability to adjust focus. While performing the duties of this job, the employee is regularly required to sit; use hands, handle or feel, speak, and hear. The employee is frequently required to stand, walk, and reach with hands and arms. The employee is occasionally required to climb or balance; stoop, kneel, crouch, or crawl. TRAVEL There may be a little business travel required as part of this job.
