School Year / As Determined by School Calendar Summary of Position The Front Office/Front Desk Coordinator is the welcoming face and first point of contact for Westgate Community School. This position provides exceptional customer service to students, families, staff, and visitors while ensuring that the front office operates in an organized, professional, safe, and efficient manner. The Front Desk Coordinator manages daily front office operations, responds to inquiries, supports student attendance and records processes, and assists with school communications. The position requires excellent judgment, confidentiality, organization, accuracy, and the ability to remain calm and professional in a busy K-12 school environment. The ideal candidate is warm and approachable while also being highly organized, dependable, detail-oriented, and able to appropriately enforce school procedures and boundaries. Essential Responsibilities Front Office Operations Serve as the primary receptionist and first point of contact for students, families, staff, and visitors. Greet visitors, determine the purpose of visits, and direct individuals appropriately. Answer and route incoming telephone calls, emails, and general inquiries. Maintain a welcoming, professional, and organized front office environment. Monitor front office traffic and ensure visitors follow school check-in and identification procedures. Manage deliveries, mail, packages, and other incoming materials. Maintain office supplies and communicate supply needs to the appropriate administrator. Provide general administrative support to the Executive Director, Principal(s), and administrative team. Student Support and Attendance Support daily student sign-in, sign-out, late arrival, early dismissal, and attendance procedures. Verify authorized adults when students are released from school. Communicate with families regarding attendance, tardies, early dismissals, and other routine matters as directed. Maintain accurate attendance and student information in the school's student information system. Assist with student records and documentation while maintaining strict confidentiality. Support the administrative team with student-related administrative needs. Family and Community Relations Provide courteous, responsive, and solution-oriented customer service to families. Respond to routine questions and determine when an issue should be referred to an administrator or another department. Communicate school procedures and information accurately and consistently. Help families navigate school systems, resources, events, and processes. Maintain professionalism and discretion when interacting with families regarding sensitive student or school matters. Contribute to a positive school culture through warm, respectful, and professional interactions. Safety and Security Follow and support all school safety, security, emergency, and visitor procedures. Monitor access to the building through the front office. Maintain accurate visitor and volunteer records. Assist with emergency procedures, drills, lockdowns, evacuations, and reunification processes as directed. Immediately report safety concerns, unusual activity, or emergencies to the appropriate administrator. Maintain confidentiality regarding student, staff, and school security information. Administrative Support Prepare, organize, scan, copy, file, and distribute documents and materials. Maintain accurate electronic and physical records. Assist with school-wide mailings, forms, registrations, and other administrative projects. Support school events and activities as needed. Assist with enrollment, registration, and student information processes. Coordinate routine administrative communications as assigned. Track and follow up on tasks to ensure deadlines are met. Provide coverage and assistance to other administrative offices as needed. School Communications Serve as a reliable source of accurate information for families and visitors. Assist with distributing approved school communications. Ensure information provided to families is accurate, timely, and consistent with school procedures. Direct media or external communications requests to the appropriate administrator. Maintain discretion regarding confidential or sensitive school information. Ability to learn and effectively use student information, attendance, communication, and other school-based systems. Ability to work effectively with students across grades K-12. Ability to establish positive relationships with diverse students, families, and staff. Ability to work independently while also contributing effectively to a collaborative team.
Qualifications Required:
High school diploma or equivalent. Previous experience in an administrative, receptionist, customer service, school, or office environment. Demonstrated ability to communicate professionally with a wide range of individuals. Demonstrated ability to maintain confidentiality. Strong organizational and problem-solving skills.
Preferred:
Experience working in a school environment. Experience with student information or attendance systems. Experience working with children and families. Associate degree or additional relevant education or training. Physical Requirements The position requires the ability to: Sit and stand for extended periods. Move throughout the school building as needed. Lift and carry office materials and supplies. Bend, reach, and retrieve materials from cabinets and storage areas. Respond quickly to students, staff, visitors, and emergency situations. Perform routine computer and office tasks for extended periods. Working Environment The Front Office / Front Desk Coordinator works in a busy K-12 school environment with frequent interruptions, changing priorities, and regular interaction with students, families, staff, and visitors. The position requires the ability to maintain a welcoming demeanor while managing multiple responsibilities and maintaining appropriate professional boundaries.
