This vital role combines front desk responsibilities with administrative support, ensuring smooth daily operations, answering phone calls, know how to upload a blueprint and print it out, do proposals and invoices. The ideal candidate will be energetic, detail-oriented, and possess excellent communication skills, ready to handle multiple tasks with enthusiasm and professionalism. Responsibilities Manage multi-line phone systems, answer inquiries promptly, and direct calls to the appropriate departments using professional phone etiquette Handle incoming and outgoing correspondence, including emails, mailings, and deliveries with accuracy and timeliness Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents and records Perform data entry tasks such as updating databases Support office management duties including calendar management, scheduling meetings, coordinating appointments, and managing travel arrangements Requirements Proven office management or administrative experience in a fast-paced environment Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel), Google Workspace (Docs, Sheets), and data entry skills Excellent organizational skills with keen attention to detail for proofreading documents and managing multiple priorities effectively Exceptional customer service skills with the ability to communicate clearly via phone reception and in person Bilingual abilities are highly desirable to serve diverse client needs effectively Experience with multi-line phone systems, calendar management, filing systems, and clerical tasks such as typing and proofreading Ability to handle confidential information discreetly while maintaining a professional demeanor Strong time management skills to prioritize tasks efficiently throughout the workday Join our team where your organizational talents will shine!
