Job Description
Job Summary We are seeking a dynamic and organized Office Assistant/Receptionist to join our team! This energetic role is vital in creating a welcoming environment for visitors and ensuring the smooth operation of daily office activities. The ideal candidate will be proactive, tech-savvy, and possess excellent communication skills. You will handle front desk responsibilities, manage administrative tasks, and support office management to foster an efficient and friendly workplace atmosphere. Duties Greet visitors and clients warmly, providing exceptional customer service and professional front desk support Answer multi-line phone systems promptly, directing calls accurately and courteously using proper phone etiquette Manage appointment scheduling and calendar organization using EMR, Microsoft Office and Google Workspace tools Perform insurance prior authorizations and specialty referrals Perform data entry, maintain filing systems, and update spreadsheets with accuracy using productivity software Handle incoming and outgoing correspondence, including proofreading documents and preparing Word processing files Support office management tasks such as supply inventory, filing, or similar software Assist with client communication, follow-up calls, and general administrative support to ensure office productivity Experience Previous clerical or administrative experience in an office setting is preferred Demonstrated proficiency with EMR, Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications Strong computer literacy with the ability to learn new software quickly and efficiently Experience managing multi-line phone systems and providing excellent customer support Bilingual skills are a plus for effective communication with diverse clients and team members Familiarity with office management procedures, data entry and filing systems Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment Join us in creating a positive, organized workspace where every detail counts!
