We are willing to train for the right fit. Please read the full post Job Summary We are seeking an energetic and highly organized Front Desk Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, deliver exceptional customer service, and support administrative functions to keep daily activities running smoothly. The Front Desk Receptionist is the first point of contact for every patient and sets the tone for their experience. Please note, to support the health and wellness of our patients and team, our campus and offices are strictly smoke-free. Responsibilities Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly Manage multi-line phone systems, directing calls efficiently and professionally using proper phone etiquette Schedule, confirm, reschedule, and follow up on appointments for both primary care and psychiatric visits Handle data entry tasks accurately using spreadsheets, Microsoft Office, Google Workspace, and other productivity software Maintain organized filing systems and perform clerical duties such as proofreading documents, managing calendars, and scheduling appointments Support office management tasks including inventory tracking, bookkeeping, and document preparation Assist with client communication via phone or email, providing excellent customer support and support for administrative inquiries Perform general office duties such as filing, photocopying, scanning documents, and maintaining a clean reception area Verify and update demographics, insurance, consents, and required forms Triage non-clinical questions and route clinical concerns to the provider promptly Track no-shows and cancellations and work the waitlist to fill openings Verify eligibility and benefits before visits; identify prior authorization needs Collect copays, deductibles, and outstanding balances; reconcile daily payments Assist patients with understanding coverage, self-pay rates, and billing questions Support the billing process by ensuring clean front-end data capture Maintain accurate records in the EHR/practice management system Manage incoming/outgoing faxes, mail, and supply ordering Open and close the office as needed. Uphold HIPAA and all patient privacy and compliance requirements Handle sensitive behavioral health conversations with discretion and empathy Experience Required 1+ year in a medical office, healthcare, or customer-facing administrative role Strong verbal and written communication skills and a service-first attitude Comfort with computers, EHR systems, scheduling software, and Microsoft/Google tools Demonstrated reliability, punctuality, and discretion with confidential information Experience in primary care, behavioral health, or psychiatry Familiarity with insurance verification, prior authorizations, and copay collection Bilingual (Spanish/English) Knowledge of HIPAA and medical office compliance practices Consider applying even if you do not meet all requirements. Monday-Thursday, clinic hours (occasional flexibility for extended hours till 9) Start date mid to late
October Compensation Type:
Hourly Wages ( Commensurate with experience )
Working Conditions:
