Job Description

Job Summary We are seeking an energetic and detail-oriented Front Desk Agent to be the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and ensure smooth administrative workflows. Your positive attitude and organizational skills will help create a professional and friendly environment for visitors, clients, and team members alike. This paid position offers an exciting opportunity to develop your office management expertise while supporting daily operations across various departments. Responsibilities Greet visitors and clients warmly, ensuring a positive first impression. Answer multi-line phone systems promptly and professionally, directing calls efficiently. Manage appointment scheduling, calendar management, and coordinate meetings using tools like Google Workspace and Microsoft Office. Handle data entry, filing, proofreading, and maintain accurate records for office documentation. Support office management tasks such as supply inventory, mail distribution, and maintaining cleanliness of the front area. Assist with clerical duties including typing correspondence, updating databases, and supporting customer support efforts. Provide bilingual support when needed to accommodate diverse clients and staff members. Qualifications Proven experience in office management or administrative roles with strong clerical skills. Excellent computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications. Familiarity with multi-line phone systems and phone etiquette to handle inquiries professionally. Strong organizational skills with the ability to prioritize tasks effectively and manage time efficiently. Previous experience as a receptionist or in customer service roles such as dental or medical receptionist is preferred. Bilingual abilities are highly desirable to serve a diverse clientele. Knowledge of QuickBooks or bookkeeping experience is a plus but not required.
