Job Description
We are seeking a dependable, organized, and patient-focused Rehabilitation Front Desk Coordinator to join our Rehabilitation Department. This position will support our rehab team and patients at both our Bristol and Torrington locations. The successful candidate must be flexible and willing to work between both offices based on departmental scheduling and operational needs. The Front Desk Coordinator plays an important role in creating a positive patient experience while ensuring the efficient day-to-day operation of the Rehabilitation Department. Duties Greet and check in patients in a professional, friendly, and efficient manner. Complete patient check-out and schedule follow-up rehabilitation appointments. Answer incoming telephone calls and assist patients with scheduling, questions, and other needs. Schedule, reschedule, and cancel appointments while maintaining accurate provider and therapy schedules. Verify patient demographic and insurance information and update records as necessary. Collect copayments, deductibles, coinsurance, outstanding balances, and other patient payments at the time of service. Accurately document and process payments according to practice procedures. Obtain and track insurance authorizations and referrals required for physical and/or occupational therapy services. Monitor authorization visit limits and expiration dates to help prevent patients from receiving services without appropriate authorization. Communicate with insurance companies, referring providers, clinical staff, and patients regarding authorization or referral requirements. Assist with insurance eligibility and benefit verification as needed. Ensure required prescriptions, referrals, authorizations, and documentation are received prior to scheduled services. Maintain accurate patient information within the electronic medical record and scheduling systems. Communicate effectively with therapists and other clinical staff regarding scheduling changes, patient concerns, authorizations, and other front-office matters. Help maintain efficient patient flow throughout the department. Assist patients with questions regarding appointments, insurance requirements, payments, and practice policies. Scan, upload, fax, and maintain patient documentation as required. Protect patient confidentiality and comply with HIPAA and all practice policies and procedures. Maintain a professional, organized, and welcoming front-desk environment. Perform other administrative and front-office duties as assigned to support the Rehabilitation Department and overall practice operations. Must be able and willing to work at both the Bristol and Torrington, CT locations.
