KEY RESPONSIBILITIES
Front Desk Operations & Hospitality Client & Visitor Engagement:
Greet visitors, clients, and guests with warmth and professionalism, providing excellent customer service and ensuring a welcoming environment.
Call Management:
Promptly and courteously answer a multi-line phone system, screen and direct calls efficiently, and deliver detailed messages to the appropriate personnel.
Access Control & Safety:
Monitor visitor logbooks, issue security badges, and enforce front-office security and safety procedures.
Environment Maintenance:
Keep the reception desk, lobby, breakroom, and shared common spaces clean, orderly, and well organized.
Case File Administration Database & File Setup:
Establish new case records in the company database, assemble files (electronically and occasionally hard-copy), handle accurate data entry, and perform regular record updates.
Calendar & Deadline Coordination:
Schedule appointments, meetings, phone conferences, inspections, depositions, and trial testimony using Outlook calendar management tools.
Caseload Tracking:
Monitor active consultant caseloads and track upcoming project milestones and hard deadlines to keep the team on schedule.
Evidence & Media Handling:
Maintain confidential materials, media files and evidence lists with complete discretion.
Operations, Document Control & Logistics Quality Control & Proofreading:
Proofread technical reports, court documents, and client correspondence to ensure high accuracy, clear grammar, and proper formatting.
Mail & Package Handling:
Sort, log, and distribute incoming mail, packages, and deliveries.
Procurement & Inventory:
Monitor office stock levels and order office supplies, shipping materials, standards, and exemplar items as directed.
General Administrative Support:
Conduct basic product or operational research and assist internal teams with general office projects as needed.
REQUIREMENTS & QUALIFICATIONS
Experience & Education High school diploma or GED required; college coursework or an Associate/Bachelor's degree is desirable. Some experience in an administrative support, front desk, or clerical role preferred.
Outstanding dependability, attendance record, and punctuality, with a commitment to opening the office on time and maintaining consistent front desk coverage.
Software Literacy:
Strong computer literacy with proficiency in Microsoft 365 (Word, Excel, Outlook, Teams, etc.) and other productivity software.
Communication & Detail:
Exceptional written and verbal communication skills with knowledge of multi-line phone etiquette; meticulous attention to detail for proofreading and data entry.
Organization & Multitasking:
Exceptional time-management and organizational skills, with the ability to prioritize tasks, work under pressure, and manage multiple responsibilities simultaneously under limited supervision.
Discretion & Confidentiality:
Absolute integrity and discretion required; candidate must execute and adhere to a strict confidentiality agreement due to sensitive client materials.
Problem Solving & Reliability:
Self-motivated with strong logical thinking skills to address client inquiries independently or route them appropriately.
Physical Demands & Work Environment Physical Requirements:
Extended periods of sitting at a primary workstation, short periods of walking, and occasional light-to-moderate physical labor (e.g., lifting supply boxes, light cleaning and upkeep, or using a step ladder and/or basic hand tools).
