Job Description
Upscale residential community is seeking a professional Front Desk Receptionist. This person is the first contact for residents and clientele arriving at the Association Office. They will be pleasant and friendly with a professional demeanor and appearance and be adept at information processing - verbally, mentally and mechanically. Provide effective, day to day operation of the Association Front Desk and related Association business. Provide Residents, Guests, Tenants, and Visitors with friendly, professional, current and correct information. Essential Duties & Responsibilities Provide Residents with current and correct information. Answer and route telephone calls. Take & distribute messages. Open, stamp & distribute mail. Monitor office messaging & voice mail system. Assist with the processing of resident registration, including entry into the data-base, and gate access system for access control. Assist with the issuance of Photo ID's & maintenance of any and all records pertaining to the photo ID system. Assist in the compilation and coordination of tenant information including all corresponding forms and collection of fees payable. Upon their arrival, present them with Photo IDs, barcodes and orientation packet. Office copying of all checks and accompanying forms to be forwarded to the Bookkeeping Manager. Assist residents and tenants with signing on to all systems on lobby pc. Other Duties Assist and coordinate with Activities Director all events, classes and registrations. Assist with special projects. Adheres to and ensures that Pelican Landing Community Association Standard Operating Procedures are followed and all Company assets safeguarded. Adheres to all safety policies and reports any unsafe conditions to management. Complies with all policies as described in the Pelican Landing Community Association Handbook. Other duties may be assigned, based on company's needs. Education High School Degree/GED Technical Knowledge Must possess a good working knowledge of Microsoft Office - Word, Excel, Outlook; Special Skills and/or Abilities Phone skills & etiquette Ability to prioritize, organize, and manage multiple priorities. Must be able to meet US employment eligibility requirements and PLCA eligibility requirements. Supervisory Responsibilities - None Physical Demands This position requires extensive sitting and typing. Must be able to stand to greet guests. Light Lifting required 0-10 lbs. Training Training provided for specialized programs. Decision Making Will be asked to solve practical problems, deal with a variety of variables in situations and to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. Financial Responsibilities - None Communication This person must be proficient in written and oral English for business letters, memos, customer interaction, etc. Must have excellent interpersonal/communication and customer service skills - approachable, cheerful, helpful, etc. Equipment Used Office machines, phones, fax, computers, copiers, postage meter, etc.
