In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service to visitors and clients. Your organizational skills and office management experience will ensure smooth daily operations, creating a positive first impression for everyone who walks through our doors. Responsibilities Greet visitors, clients, and vendors warmly and professionally, ensuring they feel welcomed and valued Manage multi-line phone systems efficiently, directing calls accurately and courteously Handle all front desk duties including scheduling appointments, managing calendars, and coordinating meetings Perform data entry, filing, and maintain organized records using Microsoft Office Provide customer support by addressing inquiries promptly via phone or email with excellent phone etiquette and communication skills Assist with clerical tasks like proofreading documents, managing correspondence, and maintaining accurate records Skills Proven experience in office management or administrative support roles with strong organizational skills Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook) Familiarity with multi-line phone systems and professional phone etiquette Bilingual abilities are highly desirable to serve diverse client needs effectively Strong typing skills with attention to detail for proofreading and document accuracy Ability to prioritize tasks efficiently using time management techniques in a fast-paced environment Previous experience as a mortgage receptionist is advantageous but not required; personal assistant experience is also valuable Knowledge of office procedures such as filing systems, calendar management, and record keeping Join us to be part of a vibrant team where your organizational talents and customer service skills will make a meaningful difference every day!
