Job Description
Overview We are seeking a dynamic and friendly Front Desk Agent to be the welcoming face of our organization. In this vital role, you will serve as the first point of contact for visitors, clients, and team members, ensuring a smooth and professional experience at all times. Your energetic approach and excellent communication skills will help foster a positive environment while managing administrative tasks efficiently. Duties Greet visitors, clients, and staff with enthusiasm and professionalism, creating a welcoming atmosphere. Manage multi-line phone systems, directing calls accurately and courteously while providing exceptional customer support. Handle all front desk operations including check-ins, appointments, and visitor sign-ins using office management software. Maintain organized filing systems, perform data entry, and ensure accurate record-keeping for various administrative functions. Support office management tasks such as calendar management, appointment scheduling, and proofreading documents for clarity and accuracy. Utilize computer skills including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace to complete daily tasks efficiently. Perform clerical duties such as filing, photocopying, faxing, and managing correspondence with attention to detail. Ensure excellent phone etiquette by providing prompt, friendly assistance to callers and visitors alike. Assist with bookkeeping and basic data entry tasks using QuickBooks or similar accounting tools when needed. Maintain a tidy front desk area and ensure all office supplies are stocked and organized for optimal workflow. Experience Previous office experience or clerical experience is highly preferred, demonstrating familiarity with administrative procedures. Strong organizational skills with the ability to multitask effectively in a fast-paced environment. Excellent communication skills in both English and bilingual capabilities are a plus to serve diverse clientele. Proficiency in computer literacy including Microsoft Office (Word, Excel, Outlook), Google Workspace, data entry, proofreading, and calendar management tools. Experience handling multi-line phone systems and practicing professional phone etiquette is essential. Knowledge of office management practices such as filing systems, record keeping, and time management techniques. Prior experience in customer service roles or as a receptionist—medical or dental receptionist experience is advantageous—demonstrating strong customer support skills. Familiarity with bookkeeping or personal assistant responsibilities can be beneficial for supporting various administrative functions.
