Job Description
Overview We are seeking a highly reliable and capable Receptionist/ Assistant to support office organization and administration. In this role, you will be responsible for processing documents, maintaining databases, perform data entry, manage office supplies, and interact with the public. The ideal candidate is punctual, detail-oriented, and committed to providing excellent, professional customer service at all time. Excellent communication skills and bilingual fluency in English and Spanish is required.
Core Responsibilities Scheduling:
Managing calendars, arranging meetings, and coordinate appointments.Communication:
Handling inbound and outbound phone calls and emails; greet visitors.Document Management:
Drafting, editing, and format letters, emails, and other documents; print, copy, scan, and file documents and correspondence as needed.Office Administration:
Maintaining filing systems (physical & digital), monitor & managing supplies, ordering stock, and process mail.Data Entry:
Record and maintain accurate, often confidential, records.Stocking:
Maintain office and kitchen supplies; ordering supplies for related entities.Required Skills and Qualifications Organization:
Strong multitasking abilities and attention to detail; excellent filing and recordkeeping skills.Communication:
Excellent verbal and written communication skills.Technology Proficiency:
Proficiency in MS Office Suite (Word, Excel, Outlook, etc.) and office equipment.Interpersonal Skills:
Professional demeanor when interacting with staff and clients; ability to assist with event setup and refreshments, if required•Experience:
1-2 years of experience in a clerical or secretarial role required.Education:
Minimum high school diploma or GED.Schedule:
Stable, full-time employment; Monday to Friday, 8:30 a.m. to 5 p.m. No weekend work.Pay:
