This position requires an organized, confident, compassionate, and highly efficient individual who can successfully manage a fast-paced, high-volume veterinary hospital. The ideal candidate thrives in a busy environment, can prioritize multiple competing demands, communicates clearly, and remains calm and professional when the hospital is under pressure. The Veterinary Receptionist is expected to provide exceptional client service while accurately managing appointments, phone calls, patient information, payments, medical records, and communication between clients and the medical team. Client Experience & Fear Free Care Welcome clients and patients warmly and professionally. Create a calm, positive, and Fear Free experience from check-in through checkout. Recognize signs of fear, anxiety, or stress in patients and communicate concerns to the medical team. Follow hospital protocols designed to reduce patient stress and anxiety. Maintain a calm demeanor even during high-volume or stressful periods. Communicate with empathy when clients are worried, upset, or emotional. Appointment Management Schedule appointments accurately and efficiently according to hospital protocols. Maintain appropriate appointment flow and avoid unnecessary scheduling bottlenecks. Confirm appointments and communicate required pre-visit instructions. Identify appointment types that may require additional time, equipment, or staff. Recognize potentially urgent or emergency situations and promptly alert the appropriate medical team member. Appropriately prioritize calls and client requests based on urgency. Monitor the schedule throughout the day and communicate delays or workflow concerns to the appropriate team members. Client Communication Obtain and accurately enter client and patient information. Efficiently determine the purpose and urgency of the client's concerns. Maintain accurate medical records and client accounts. Verify contact information, patient information, and pertinent history when appropriate. Ensure records and documents are properly scanned, attached, or filed. Protect confidential client and patient information. Route calls appropriately without unnecessarily interrupting doctors or technicians. Return messages and complete follow-up communication within established timeframes. Respond to emails, texts, and other electronic communications according to hospital protocols. Maintain professional communication even when dealing with frustrated or demanding clients. Team Communication & Hospital Flow Serve as an effective communication link between clients and the medical team. Communicate important client concerns and patient information promptly and accurately. Monitor the lobby, phones, schedule, and client needs simultaneously. Anticipate workflow problems and communicate them before they become larger issues. Assist teammates when the front desk workload allows. Maintain awareness of what is happening throughout the hospital. Work collaboratively with veterinarians, veterinary technicians, assistants, and management. Understand that patient care and hospital flow are team responsibilities. Reception Area & Hospital Standards Keep the reception area clean, organized, stocked, and professional. Maintain appropriate supplies at the front desk. Follow hospital cleaning and sanitation protocols. Maintain a professional appearance and demeanor. Help maintain a safe environment for clients, patients, and staff. Attendance & Reliability Reliable attendance and punctuality are essential to this position. The receptionist is a key component of daily hospital operations, and unexpected absences or tardiness can significantly impact patient care and staffing.
