In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service to visitors and callers alike. Your positive attitude and efficient office management skills will ensure a smooth daily operation, creating a professional and friendly environment for all who walk through our doors. This paid position offers an exciting opportunity to develop your administrative expertise while supporting our team's success. Duties Greet visitors warmly and direct them appropriately, ensuring a positive first impression Manage multi-line phone systems, answer inquiries promptly, and transfer calls efficiently using proper phone etiquette Maintain the front desk area, ensuring it is tidy, organized, and welcoming at all times Handle data entry tasks such as filing, proofreading documents, and updating records using Microsoft Office and Google Workspace tools Schedule appointments, manage calendars, and coordinate meetings for staff or clients Support office management tasks including bookkeeping with QuickBooks, filing important documents, and managing office supplies Provide customer support by addressing questions or concerns professionally and courteously Assist with clerical duties such as typing correspondence, proofreading materials, and maintaining accurate records Support personal assistant tasks when needed, including time management and calendar oversight for executives or team members Experience Previous office experience in a receptionist or administrative role is highly preferred Strong computer skills with proficiency in Microsoft Office (Word, Excel), Google Workspace (Gmail, Calendar), and data entry software Experience managing multi-line phone systems and demonstrating excellent phone etiquette Bilingual abilities are a plus to serve diverse client needs effectively Knowledge of office management procedures including filing systems, bookkeeping (QuickBooks), and clerical tasks such as proofreading and document preparation Customer service experience with a focus on providing support in busy environments Familiarity with medical or dental receptionist duties is advantageous but not required Proven organizational skills with the ability to prioritize tasks efficiently and manage time effectively Join us to be part of a dynamic team where your organizational talents shine!
