Join our dynamic team as a Weekend Receptionist and become the friendly, organized face of our organization during weekend hours! In this vital role, you will manage front desk operations, provide exceptional customer service, and ensure smooth administrative flow. Greet visitors warmly and direct them appropriately, ensuring a positive first impression. Manage multi-line phone systems with professionalism, answering inquiries promptly and routing calls efficiently. Handle all front desk responsibilities including check-ins, appointments, and visitor sign-in procedures. Maintain organized filing systems, perform data entry, and ensure accurate record keeping using Microsoft Office and Google Workspace tools. Support office management tasks such as calendar management, scheduling appointments, and coordinating meetings. Assist with clerical duties like proofreading documents, managing correspondence, and updating databases like QuickBooks for basic bookkeeping needs. Provide excellent customer support by addressing inquiries via phone or in person with courtesy and clarity while practicing proper phone etiquette. Proven experience in office administration or reception roles, preferably in medical or dental settings. Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills. Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment. Bilingual abilities are highly desirable to serve diverse client needs effectively. Experience with multi-line phone systems, clerical tasks, filing, proofreading, and calendar management is preferred. Demonstrated customer service expertise combined with professional phone etiquette and interpersonal skills. Prior experience with office management software such as QuickBooks or similar bookkeeping tools is a plus.
