Type:

full-time Receptionist/Executive Assistant | West Palm Beach, FL Our client, a leading private equity firm, is seeking a Receptionist / Executive Assistant to join their West Palm Beach office. This is an excellent opportunity for a polished and proactive professional looking to grow their career while gaining exposure to executive support within a fast-paced, professional environment. This individual will serve as a welcoming presence for the office while also providing administrative and executive support to members of the team. The firm is open to candidates from a variety of professional backgrounds and experience levels.

Schedule:

Monday-Friday, 9:00 AM-5:00

PM Responsibilities:

Serve as a professional and welcoming first point of contact for the office, including greeting guests and assisting with general reception needs. Manage day-to-day reception and front-office responsibilities. Provide administrative and executive support to members of the team. Assist with calendar management, scheduling, meetings, appointments, and changing priorities. Coordinate internal and external meetings and communications. Assist with domestic and international travel needs in partnership with the firm's travel agency. Prepare itineraries and assist with travel-related logistics. Process and manage expense reports. Assist with conference room coordination and general day-to-day office needs. Provide occasional administrative and project support to the Investor Relations team. Assist with broader administrative and office projects as needed. Handle confidential and sensitive information with discretion and professionalism.

Qualifications:

Open to candidates from a variety of professional backgrounds and experience levels Previous administrative, reception, office coordination, or executive support experience is preferred but not required. Strong organizational and time-management skills. Polished and professional demeanor with strong interpersonal skills. Proficiency with Microsoft Office and Outlook preferred. Familiarity with Concur, an expense management system, is a plus. Tech-savvy and comfortable utilizing AI and other tools to improve efficiency.
