Monday to Friday, 9:00 AM - 5:00 PM About the Position Sunshine State Legal Management Services, LLC is seeking a professional, organized, and client-focused Receptionist to serve as the first point of contact for prospective and existing clients. This role is essential in creating a welcoming client experience while supporting attorneys and staff through efficient intake coordination, communication, and administrative support. The ideal candidate is personable, detail-oriented, empathetic, and thrives in a fast-paced legal environment. Key Responsibilities Client Intake & Onboarding Serve as the first point of contact for all inbound phone, email, and web inquiries Conduct initial client intake, gather relevant information, and identify legal needs Schedule consultations and coordinate appropriate attorney or staff assignments Prepare and send engagement agreements and onboarding documentation Ensure all required documents are collected, organized, and properly filed Client Experience & Communication Provide a responsive, professional, and empathetic client experience Maintain regular communication with clients regarding next steps and timelines Proactively follow up with prospective and existing clients to support engagement and satisfaction Address client concerns professionally and escalate issues when appropriate Matter Coordination Support Act as a liaison between clients, attorneys, and internal departments Assist with tracking matter progress and managing client expectations Maintain accurate and up-to-date records in the firm's CRM or practice management system Cross-Service Awareness & Referrals Identify opportunities to introduce clients to additional firm services Coordinate internal referrals with appropriate team members Support firm initiatives focused on providing comprehensive client solutions Administrative & Reporting Duties Maintain intake logs, lead tracking, and conversion data Assist with reporting related to client inquiries, conversion rates, and retention metrics Ensure compliance with firm policies, procedures, and confidentiality requirements Qualifications 1-2 years of experience in an office administrative role Strong communication, customer service, and interpersonal skills Excellent organization and multitasking abilities Proficiency with Microsoft Office and CRM/practice management software preferred Ability to handle confidential information with professionalism and discretion Benefits $22.50/hour compensation Benefits package 401K plan Professional and supportive work environment Only candidates selected for an interview will be contacted.
