ABOUT WE CARE OF CENTRAL FLORIDA
Since 1999, We Care of Central Florida (WCCF) has been Polk County's only Specialty Referral Provider Network, connecting low-income, uninsured adults with volunteer medical specialists. We partner with local providers to deliver labs, diagnostics, specialty care, breast care, vision care, transportation to healthcare appointments and food access, and durable medical equipment at no cost to patients, ensuring access to essential healthcare that would otherwise be out of reach.
POSITION OVERVIEW
The telephone receptionist is the voice of We Care of Central Florida and, for many patients, their very first connection to the care they need. This entry-level position is responsible for answering and routing all incoming calls on the main switchboard, taking accurate messages, and providing callers with courteous, reliable information. The ideal candidate is friendly, patient, and dependable, with a calm and professional phone presence and a genuine desire to help others. No prior receptionist experience is required; WCCF will provide training for the right candidate.
CORE RESPONSIBILITIES
Switchboard & Call Management Answer all incoming calls on the multi-line switchboard promptly, warmly, and professionally, using proper telephone etiquette. Screen and direct calls to the appropriate staff member, department, or program. Take complete and accurate messages and deliver them to the intended recipient in a timely manner. Monitor and respond to voicemails on the main office line daily, ensuring timely follow-up. Provide callers with general information about WCCF services, including transportation for healthcare appointments and food access, eligibility basics, office hours, and location. Maintain an up-to-date staff directory and call routing guide. Customer Service & Front Office Support Greet and assist patients and visitors as needed. Handle difficult or emotional callers with patience, empathy, and professionalism, escalating concerns to a supervisor when appropriate. Log calls and basic caller information as directed for internal tracking and reporting. Provide routine administrative support including filing, scanning, and copying. Ensure compliance with HIPAA regulations by handling all patient information with strict confidentiality. Additional Duties Assist with special events, community outreach activities, and fundraisers. Collaborate with colleagues across departments to support organizational goals. Perform other duties as assigned by the CEO or Operations Director.
QUALIFICATIONS
No prior experience required; experience in customer service, a call center, or a front office setting is a plus. Clear, pleasant, and professional telephone voice with excellent verbal communication skills. Strong listening skills and the ability to remain calm and courteous during high call volume. Dependable and punctual, with a commitment to consistent attendance. Ability to learn new phone systems and computer software quickly. Discretion and sensitivity when handling confidential patient information. Ability to work both independently and as part of a team.
EDUCATION
High School Diploma or GED required.
TECHNICAL REQUIREMENTS
Basic computer skills, including email and data entry. Familiarity with Microsoft Office Suite (Outlook, Word, Excel) preferred. Ability to operate a multi-line telephone system and standard office equipment.
PHYSICAL REQUIREMENTS
Office-based work environment. Frequent sitting, extended use of a telephone headset, keyboarding, and use of standard office equipment. Occasional standing, walking, light filing, and lifting (up to 25 lbs).
