Job Description

About the Position We are looking for a friendly, organized, and dependable Front Desk Receptionist to join our medical/physical therapy office. The Front Desk Receptionist will be the first point of contact for our patients and will be responsible for providing excellent customer service while efficiently managing patient check-in, check-out, scheduling, phones, forms, and front-office administrative tasks. The ideal candidate is professional, detail-oriented, comfortable working in a busy healthcare environment, and able to multitask while maintaining a positive attitude. Primary Responsibilities Patient Check-In Greet patients in a professional and welcoming manner Verify patient identity and demographic information Confirm appointments and update patient information as needed Collect required forms and documentation Confirm insurance information and alert appropriate staff of any changes Ensure required paperwork is completed before treatment Collect patient copays, deductibles, and other applicable balances Answer patient questions and direct clinical or billing questions to the appropriate staff member Maintain patient confidentiality and follow HIPAA requirements Patient Check-Out Check patients out after their appointments Schedule follow-up and future appointments Confirm that patients have the appropriate number of visits scheduled Collect applicable copays or balances Provide appointment reminders and instructions Ensure all required checkout information is completed Communicate any outstanding issues to the appropriate staff member Scheduling Schedule new patient appointments Schedule follow-up visits Manage cancellations and rescheduling Maintain an accurate and organized appointment schedule Coordinate appointments based on authorization and approved visit limits when applicable Communicate with patients regarding appointment availability Help maintain an efficient patient flow throughout the day Front Office Administrative Duties Answer and route telephone calls Respond to patient inquiries professionally Process incoming and outgoing paperwork Scan and upload documents into the patient management system Maintain organized patient records Assist with patient intake forms Monitor the front desk and waiting area Communicate with insurance, billing, and administrative staff when information is needed Assist with general office duties as assigned Insurance & Authorization Support The Front Desk Receptionist will work closely with our insurance and authorization staff.
Responsibilities may include:
Obtaining updated insurance information Identifying changes in insurance coverage Collecting required patient documentation Notifying the appropriate staff when an authorization or referral issue is identified Following established procedures for patients requiring insurance authorization Making sure information needed for the patient's visit is collected and documented The receptionist will not be expected to independently handle complex insurance verification or billing issues. Those matters will be escalated to the appropriate staff member. Patient Experience We are looking for someone who understands that the front desk plays an important role in the overall patient experience.

Treat patients with respect and compassion Maintain a professional and positive attitude Communicate clearly and effectively Protect patient privacy Remain calm when dealing with difficult situations Help patients feel welcomed and cared for from check-in through check-out Qualifications Previous medical office, physical therapy, healthcare, or front desk experience preferred Excellent customer service skills Strong communication and organizational skills Comfortable answering multiple phone calls and assisting patients in person Strong attention to detail Ability to multitask in a busy environment Basic computer skills Ability to learn electronic medical/ practice management software Professional appearance and demeanor Dependable and punctual Ability to work effectively as part of a team Preferred Experience Experience with any of the following is a plus: Medical front desk Physical therapy or rehabilitation office Insurance verification Patient scheduling Electronic medical records (EMR) Practice management software Copay and patient balance collection HIPAA compliance Workers' Compensation or PIP VA patients or authorizations What We Are Looking For The ideal candidate is someone who is: Organized - Keeps the front desk, schedules, forms, and patient information organized.
