In this vital role, you will serve as the first point of contact for visitors, clients, and team members, ensuring a positive and professional experience. Your organizational skills, attention to detail, and excellent communication abilities will help maintain smooth office operations. Duties Greet visitors warmly and professionally, ensuring they feel welcomed and attended to promptly. Manage multi-line phone systems efficiently, directing calls accurately and courteously. Handle incoming correspondence, emails, and inquiries with clarity and professionalism. Maintain organized filing systems, data entry records, and ensure accurate document proofreading. Support office management tasks such as calendar management, appointment scheduling Assist with clerical duties including typing documents, managing office supplies, and supporting customer service efforts. Utilize computer skills across Microsoft Office Suite and Google Workspace to prepare reports, correspondence, and presentations. Uphold excellent phone etiquette while providing exceptional customer support and support to internal teams. Experience Prior office experience or administrative support roles preferred; experience as a dental or medical receptionist is a plus. Strong organizational skills with the ability to multitask effectively in a busy environment. Proficiency in computer literacy including Microsoft Office applications, Google Workspace, data entry, and basic bookkeeping tools like QuickBooks. Excellent communication skills; bilingual abilities are highly valued for serving diverse clients and visitors. Demonstrated ability to manage multi-line phone systems with professionalism and courtesy. Experience with clerical tasks such as filing, proofreading, calendar management, and time management strategies. Knowledge of office management best practices combined with outstanding customer service skills to create a welcoming atmosphere for all visitors and callers.
