The ideal candidate will possess excellent customer service skills, strong organizational abilities, and proficiency with office management tools. This role involves managing multi-line phone systems, scheduling, data entry, and providing administrative support to ensure smooth daily operations. Bilingual skills are a plus, and experience in medical or dental reception is preferred. The Front Desk Receptionist will play a vital role in maintaining a welcoming environment and supporting the overall efficiency of our office. Responsibilities Greet visitors and clients promptly and professionally, ensuring a positive first impression Manage multi-line phone systems with courteous phone etiquette and direct calls appropriately Schedule appointments using calendar management tools and coordinate with staff as needed Handle data entry tasks accurately using Microsoft Office, Google Workspace, and other relevant software Maintain organized filing systems, both digital and physical, ensuring easy retrieval of documents Support office management tasks such as proofreading correspondence, managing office supplies, and assisting with bookkeeping using QuickBooks or similar software Provide exceptional customer support by addressing inquiries efficiently and professionally Assist with administrative duties including typing, document preparation, and proofreading Maintain a clean and organized reception area to promote a welcoming environment Experience Prior office management or administrative experience preferred, including clerical or receptionist roles Familiarity with front desk operations in medical or dental settings is advantageous Proficiency with Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Docs, Sheets, Calendar), and data entry skills Experience handling multi-line phone systems and managing appointment scheduling software Bilingual abilities are highly desirable to serve diverse client needs Strong organizational skills with the ability to prioritize tasks effectively Excellent communication skills, including phone etiquette and customer service expertise Ability to work efficiently under pressure while maintaining attention to detail and professionalism
