Job Description
Job Overview We are seeking a highly organized and friendly Front Desk Receptionist to join our team. The ideal candidate will be the first point of contact for our clients and visitors, providing exceptional customer service while managing various administrative tasks. This role requires proficiency in handling multi-line phone systems, strong computer skills, and a keen attention to detail. Bilingual candidates are encouraged to apply as we value diverse communication skills. Responsibilities Greet and assist clients and visitors in a professional manner. Manage incoming calls using multi-line phone systems, directing calls appropriately. Maintain an organized front desk area, ensuring a welcoming environment. Perform data entry and maintain accurate filing systems for client records. Utilize QuickBooks for basic bookkeeping tasks and manage office finances. Handle calendar management, scheduling appointments, and coordinating meetings. Provide administrative support including typing documents, proofreading materials, and managing correspondence. Assist with customer support inquiries and resolve issues efficiently. Collaborate with team members to enhance office management processes. Ensure compliance with office policies and procedures while maintaining confidentiality. Experience Previous experience as a receptionist or in a similar administrative role is preferred. Familiarity with dental or medical receptionist duties is a plus. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications. Strong organizational skills with the ability to manage multiple tasks simultaneously. Excellent phone etiquette and communication skills, both verbal and written. Experience with clerical tasks such as filing, data entry, and customer service is essential. Personal assistant experience or knowledge of bookkeeping practices is advantageous.
