Administrative Assistant Osteen Law Group is seeking a professional, dependable, and highly organized Administrative Assistant to join our team. This position will work directly with the Office Manager to assist with the day-to-day administrative and operational needs of the firm. The position will also provide support to our reception area, with an emphasis on client hospitality and creating a welcoming, professional experience for everyone who visits our office. We are looking for someone who takes initiative, pays attention to details, and is willing to step in wherever needed to help keep the office organized and running efficiently. Primary Responsibilities Provide direct administrative support to the Office Manager Assist with daily office operations and administrative tasks Help organize and maintain office records, documents, and files Prepare correspondence, spreadsheets, forms, and other documents Running errands Assist with data entry and maintaining accurate records Scan, copy, file, and organize documents Assist with incoming and outgoing mail and deliveries Help maintain office calendars, schedules, and appointments Assist with ordering and maintaining office supplies Communicate with employees, clients, vendors, and other outside parties as needed Assist the Office Manager with special projects and firm initiatives Help coordinate office events, employee lunches, meetings, and other activities Assist with maintaining office policies, procedures, and organizational systems Maintain confidentiality regarding client, employee, and firm information Perform additional administrative duties as assigned by the Office Manager Client Hospitality & Reception Support While this is primarily an administrative position, this individual will also assist with the hospitality side of our reception area.
Responsibilities may include:
Greeting clients and visitors in a friendly and professional manner Assisting with answering and directing incoming calls when needed Offering and serving beverages to clients and guests Preparing conference and closing rooms before appointments Checking client-facing areas throughout the day to ensure they remain clean, organized, and welcoming Resetting conference and closing rooms following appointments Assisting with refreshments, lunches, and other hospitality needs Providing reception coverage as needed Helping ensure every client receives a professional and welcoming experience while visiting the firm Qualifications Previous administrative or professional office experience preferred Strong organizational and time-management skills Excellent attention to detail Strong written and verbal communication skills Proficiency with Microsoft Outlook, Word, and Excel Ability to learn new programs and office systems Professional appearance and demeanor Friendly and service-oriented personality Dependable, punctual, and trustworthy Ability to prioritize multiple responsibilities in a fast-paced environment Ability to work independently and take initiative Willingness to assist outside of normal assigned duties when necessary Ability to maintain confidentiality and use discretion when handling sensitive information Who We Are Looking For The ideal candidate is someone who enjoys being the person who helps keep an office organized and running smoothly.
