Job Description

Overview We are looking for a motivated, organized, and professional Assistant & Real Estate Receptionist to support daily office operations, assist our agents and broker with administrative tasks, and assist with our grand opening. This role serves as the first point of contact for visitors and clients. The ideal candidate will provide excellent customer service, manage front desk responsibilities, and help ensure smooth real estate transactions and office workflow. During the initial 30-day trial period, the hours are Monday-Friday from 10am-3pm with potential to become a full-time 40 hour per week position. Responsibilities Greet visitors, clients, and vendors warmly, providing outstanding customer service and ensuring a positive first impression Manage multi-line phone systems, screen calls, and direct inquiries efficiently using proper phone etiquette Support brokers, agents, or office management with daily administrative tasks Maintain a clean, organized front desk area and manage incoming/outgoing mail and packages Schedule appointments, coordinate calendar management, and assist with meeting arrangements Prepare documents, reports, and correspondence Organize files, records, and office documents Assist with errands, event coordination, and special projects as needed Handle clerical duties such as photocopying, scanning, and maintaining office supplies inventory Maintain confidentiality of sensitive information Maintain digital and physical filing systems Support marketing efforts including social media posts, flyers, and email campaigns Experience Proven office management or administrative experience in a fast-paced environment Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools Experience working with multi-line phone systems and providing excellent phone etiquette Strong attention to detail and problem-solving skills Experience with real estate software, or CRM platforms Professional appearance and attitude Ability to work independently and manage priorities Knowledge of real estate transactions and terminology is a plus Social media or marketing experience is a plus This role is perfect for someone eager to grow their administrative expertise in a lively environment that values professionalism, initiative, and exceptional service.
