We're looking for a friendly Receptionist to join our team in Urbandale. The ideal candidate for this position is someone with exceptional customer service skills, attention to detail, effective communication skills, and a team player.
Key Responsibilities:
Greet customers, answer questions, and provide professional, welcoming experience Schedule appointments and coordinate workflow with estimators Communicate repair status updates to customers throughout the repair process Process payments, prepare invoices, and manage customer billing Perform QuickBooks data entry Maintain accurate customer records, repair orders, and insurance documentation Answer phones, manage emails, and support general office administration Resolve customer concerns and ensure a positive service experience Coordinate vehicle drop-offs, pick-ups, and rental care arrangements
Required Experience & Skills:
Customer service experience (auto industry preferred but not required) QuickBooks experience - entering invoices, payments, vendor bills, and basic accounting tasks Strong communication skills and a professional, friendly demeanor Ability to multitask in a fast-paced environment High attention to detail and accuracy in paperwork and data entry Basic automotive knowledge helpful but not required Experience with scheduling software, repair order system, or office applications Problem-solving skills and ability to handle customer concern calmly and professionally High-school diploma or equivalent
Preferred Experience:
Auto body shop, dealership, service advisor, or insurance claims background Familiarity with CCC, Mitchell, or other estimating software Prior administrative or office management experience
