Job Description

Job Summary We are seeking a dynamic and organized Receptionist/Administrative Assistant to join our team! This vital role combines front desk responsibilities with comprehensive administrative support, ensuring smooth daily operations and excellent customer service. The ideal candidate will thrive in a fast-paced environment, demonstrate exceptional organizational skills, and possess a friendly, professional demeanor. Responsibilities Greet visitors, clients, and vendors with enthusiasm and professionalism at the front desk Manage multi-line phone systems, screen calls, and direct inquiries efficiently Handle incoming and outgoing correspondence, including emails, mail, and packages Maintain accurate records through data entry, filing, and document proofreading Support office management tasks such as calendar scheduling, appointment setting, and calendar management Assist with bookkeeping duties using QuickBooks or similar accounting software Provide exceptional customer service by addressing inquiries promptly and courteously Coordinate office supplies inventory and place orders as needed to ensure smooth operations Support clerical tasks including typing, document formatting, and Google Workspace document management Requirements Proven experience in office administration or clerical roles with strong organizational skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications Excellent phone etiquette and ability to handle multi-line phone systems confidently Bilingual abilities are highly desirable to serve diverse client needs effectively Demonstrated computer literacy with experience in data entry, proofreading, and document management Prior experience in customer service or customer support roles preferred Knowledge of office management procedures including filing systems, calendar management, and time management techniques Personal assistant experience or familiarity with bookkeeping tasks such as invoicing or record keeping is advantageous Join us to be part of a vibrant team dedicated to creating a positive environment where your skills will shine!
