Job Description

We are looking for a Front Desk Coordinator to serve as the welcoming face of our office. This temporary position is ideal for someone who enjoys creating a positive first impression, keeping daily front desk operations running smoothly, and supporting a busy workplace with strong administrative coordination. The person in this role will balance guest services, communication, scheduling, and general office support while maintaining an organized reception environment.
Responsibilities:
  • Welcome guests, team members, and vendors with courtesy and professionalism while directing them to the appropriate contacts or areas.
  • Oversee visitor check-in activities and follow established access procedures to help maintain a secure office environment.
  • Organize meeting space reservations and assist with room setup and related arrangements for internal and external gatherings.
  • Process incoming and outgoing mail, shipments, and deliveries to ensure timely distribution and tracking.
  • Monitor inventory levels for office materials and submit replenishment requests to keep essential supplies available.
  • Provide administrative support through accurate record updates, filing, document organization, and general clerical assistance.
  • Partner with different departments on special assignments and day-to-day office coordination needs.
  • Keep the reception area and shared spaces neat, orderly, and ready to receive visitors at all times.
  • Respond to phone calls and general inquiries promptly, offering helpful information or routing requests to the right person.
  • Manage a multi-line phone system efficiently, ensuring inbound calls are handled professionally and without unnecessary delay.
