Receptionist Job Summary The Receptionist is responsible for answering and transferring all incoming calls in a courteous and professional manner, giving information, direction and other appropriate assistance to residents, staff, guests and vendors and performing a variety of other clerical duties as assigned. Receptionist Responsibilities Opens and closes the reception desk and properly secures all files, keys and equipment in the office area. Communicates to the appropriate parties, promptly and clearly, all messages and material directed to them through the business office. Prepares medical records for new admissions and enters all information into PCC in a timely manner. Generates, maintains and prints documents necessary for resident care. Updates room and census. Receives, sorts, and distributes mail as appropriate in accordance with the Illinois Department of Public Health policy. Fully embraces a culture of high quality customer service. Demonstrates teamwork by helping co-workers within and across departments. Communicates effectively with others, respects diverse opinions and styles, acknowledges the assistance and contributions of others, and demonstrates professionalism. Uses effective service recovery skills to solve problems or service breakdowns when they occur. o Confirm your understanding of the complaint and apologize. o Work together toward a satisfactory solution. o Commit the facilities full resources to achieve the desired outcomes. o Follow up. Receives all persons who enter the facility in a courteous manner, informs, guides, directs or otherwise assists residents, visitors, staff or vendors tactfully and congenially to present the best possible image of the facility. Performs specific work duties and responsibilities as assigned by supervisor. Demonstrates computer competence for data entry and provides secretarial support to Administration and department managers as needed utilizing office suite applications. Manages and operates equipment safety and correctly. Demonstrates the ability to be flexible, organized and function under stressful situations. Demonstrates confidence and success with multiple, high level, time sensitive tasks. Attends in-service training and education sessions, as assigned. Other duties as assigned. Education High School graduate preferred. Experience Typing and experience with other business machines very desirable. Must be able to handle a multiplicity of routine tasks, following specific instructions carefully and general instructions completely. Physical Demands Physical effort is minimal. Seventy-five percent (75%) of the work day is spent sitting, standing intermittently, and bending. Must be able to lift and carry up to twenty (20) pounds. Requires manual coordination to operate switchboard, computer, and other business equipment. Requires continuous mental and visual attention to diversified operations. Must be able to function efficiently despite distractions and interruptions. Communicates orally and/or in writing with residents, coworkers, families, and public. Travel Limited Working Conditions Both inside and outside, exposure to noise and vibration, heat and temperature, some exposure to disagreeable conditions including odor and infection. Principal Contacts Works closely with patients, family members, volunteers, center staff, and community representatives. General Requirements Must be able to execute the terms and conditions set forth in the Pearl Healthcare Employee Handbook, including, but not limited to: a. Maintains a dependable attendance record and adheres to standards of cleanliness, grooming, hygiene, and dress code. f.
