Job Description
Overview We are seeking a highly organized and friendly Administrative Receptionist to join our team. This role is essential in providing excellent customer service and ensuring the smooth operation of our front office. The ideal candidate will possess strong communication skills, be proficient in various office management tasks, and have experience with multi-line phone systems. Bilingual candidates are encouraged to apply, as we value diverse communication skills. Duties Greet and assist clients and visitors in a professional and courteous manner in a fast-paced immigration law office Manage a multi-line phone system, directing calls appropriately, screening inquiries, and taking detailed messages Perform high-volume data entry, ensuring accuracy in client records, case files, and internal tracking systems Provide administrative support, including calendar management, appointment scheduling, and confirming client meetings Assist with immigration case intake by collecting client information. Maintain and organize physical and electronic client files, ensuring confidentiality and compliance with office procedures Handle clerical duties such as photocopying, scanning, printing, and assembling immigration packets and correspondence Process incoming/outgoing mail, emails, faxes, and document requests in a timely manner Assist clients with general case status inquiries, providing information professionally while escalating legal questions to the appropriate staff Maintain an organized front desk area and ensure office supplies and materials remain stocked and accessible Collaborate with legal staff and reception team members to support smooth daily office operations and meet deadlines Skills Bilingual proficiency in Spanish (required) and English (required) Previous experience in a front desk or receptionist role (preferred) Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace Strong organizational skills with the ability to manage multiple tasks simultaneously Excellent phone etiquette and customer service abilities Familiarity with office management practices; clerical experience preferred Strong time management skills with the ability to prioritize tasks effectively High attention to detail in data entry and documentation Ability to work independently while contributing effectively to a team
Pay:
$21.00 per hour Expected hours: 40.0 per weekBenefits:
