Job Description
Position Overview:
The Front Desk Associate serves as the first point of contact for members, guests, vendors, and staff at the association office. This role is responsible for providing exceptional customer service, maintaining front desk operations, and supporting administrative functions to ensure the association office runs smoothly and efficiently.Key Responsibilities:
Greet and assist members, prospective members, visitors, and vendors in a courteous and professional manner. Answer and route phone calls and respond to general inquiries. Collect membership fees, process credit card charges, and prepare front desk deposits. Monitor and respond to emails, voicemails, and online requests. Receive and distribute mail, packages, and deliveries. Communicate governing documents (ex. Covenants & Restrictions, Bylaws, and Rules & Regulations, and Polices & Procedures) to members and potential members. Facilitate decal issuance, ensuring accurate data has been entered, and proper documentation & money have been collected. Ensure membership database stays up to date with latest member information along with current vehicles/boats/ATVs/golf carts (etc.) Coordinate and manage rental campsites & rental marina slips. Assist with annual meeting & ballot mailing. Responsible for billing of seasonal campsites and marina slips, as well as summer and winter storage of boats and campers. Monitor campground & marina activities such as reservations, assigning campsites/slips, and verifying requirements are being fulfilled. Maintain cleanliness and organization of the front desk area. Support the association management and staff with clerical tasks such as filing, data entry, document preparation, or any other duties that may be assigned. Enforce community rules and regulations in a polite and consistent manner when interacting with residents. Manage office supply inventory and reorder when necessary. Creation and communication of news/events/announcements to members through social media posts, flyers, and app notifications, when necessary.Qualifications:
High school diploma or equivalent required; associate degree preferred. 1-2 years of experience in a receptionist, administrative, or customer service role. Strong communication and interpersonal skills. Proficiency in Microsoft Office (Word, Excel, Outlook) and general office equipment. Ability to multitask and remain calm under pressure. Professional appearance and demeanor. Ability to work Saturdays during the peak operating season (May•September)Work Schedule:
