We are seeking a part-time, customer service-oriented receptionist for our busy exotic animal & holistic care practice in Lisle, IL. The ideal candidate will have experience with multi-line telephones and client interactions of a typical veterinary office. Veterinary office experience is strongly preferred. Experience with AVImark software is a plus. This position requires evening and Saturday availbility.
General responsibilities:
- Greet clients and pets by name
- Receive all incoming calls in a timely manner
- Screen and direct calls to the appropriate doctor or staff member
- Schedule appointments appropriately to accommodate both the doctor schedule and client needs
- Ability to determine what would constitute an emergency visit and provide client with necessary instruction
- Obtain pertinent patient information in assessing emergency status prior to approaching doctor or technician about scheduling emergency visit
- Comfortable utilizing basic math skills
- Comfortable relaying to client deposit amounts for appointments, and charging the appropriate amount
- Check voicemail when arriving in the morning and return calls to clients promptly
- Consistently keep up with and respond to emails throughout the day
- Contact scheduled next day appointments with reminder of time
- Contact scheduled pre-surgery appointments with reminder of time and fasting requirements
- Ensure that client information is up to date and accurate in Avimark system, as well as in physical charts
- Process card, check, and cash payments with strong accuracy
- Accurately prepare daily deposit slips for the bank
- Close out end of day business transactions
- Balance cash drawer and petty cash after each shift Requirements
- High school diploma/GED
- Must have strong interpersonal skills and be capable of interacting with a diverse team of people with various backgrounds and interests
- Computer literacy, especially with Microsoft Office and Google programs
- Time management, organizational, and multitasking skills
- Excellent verbal and written communication

The employee is occasionally required to sit; climb or balance and stoop, kneel, crouch, or crawl. The employee must regularly lift and /or move up to 30 pounds.
