In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer support. Your organizational skills and office management expertise will ensure smooth daily operations, creating a positive experience for clients, visitors, and team members alike. Duties Greet visitors warmly, direct them appropriately, and ensure they feel welcomed and comfortable Manage multi-line phone systems efficiently, directing calls with professionalism and courtesy using proper phone etiquette Handle all clerical tasks including data entry, billing, receipt of funds, filing, proofreading, and maintaining accurate records Support office management activities such as calendar management, appointment scheduling, and personal assistant responsibilities Assist CEO with real estate files from contract to closing Utilize computer skills with proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and QuickBooks for bookkeeping tasks Assist with customer service inquiries via phone or email, providing prompt and helpful support to clients and team members Maintain organized filing systems and ensure all documents are properly stored and easily accessible Experience Previous office experience or clerical experience demonstrating strong organizational skills Proven ability to manage front desk operations with professionalism and efficiency Bilingual abilities are highly desirable to assist diverse client needs Familiarity with multi-line phone systems, data entry, and basic bookkeeping software such as QuickBooks Excellent computer literacy including Microsoft Office Suite and Google Workspace tools Strong typing skills with attention to detail for proofreading and document accuracy Demonstrated time management skills to prioritize tasks effectively in a fast-paced environment Personal assistant or administrative support experience is a plus to handle calendar management and other executive support duties Benefits Health, dental and vision insurance (premium fully paid by company) Join us in creating a vibrant office environment where your organizational talents shine!
