GENERAL PURPOSE OF THE JOB
Operate a multi-line phone system to answer incoming calls and direct callers to appropriate personnel by performing the following duties:
ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Retrieves overnight messages from voicemail and forwards to appropriate personnel.
  • Answers incoming telephone calls, determines purpose of callers, and forwards calls to appropriate personnel and/or department. Announces calls to personnel via paging system. Prepares and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable.
  • Answers questions about the organization and provides callers with address, directions, fax numbers and other miscellaneous information.
  • Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel. Monitors visitor's office access to insure customers/vendors needs are met.
  • Receives', sorts and distributes all incoming mail daily. Responsible for distribution of bulk mail, overnight mail, miscellaneous mail carrier deliveries.
  • Stamp and sort outgoing mail. Process packages that are sent via UPS for various office personnel. Ensures all outbound mail is in proper containers for carrier pick up.
  • Process accounts receivable mail, providing daily cash totals to appropriate personnel: route accounts receivable checks to credit department.
  • Ordering supplies for mailroom's office equipment.
  • Coordinates and arranges ground transportation to/from airport, hotel, and convention centers for Trade Show attendees, which includes employees, guests, and customers. Creates "guest" badges for all show visitors several times a year.
  • Break down daily invoices which include mailing originals to customers, attaching the back-up for internal office copies and placing the salesmen copy in the appropriate mail slot.
  • Required to work some evening hours (till around 6 pm) and the occasional weekend for Trade Shows 8 times per year.
  • Make copies of correspondence or other printed materials.
  • Strong multitasking ability with great attention to detail.
  • Cover for the other reception when they are out of the office, as well as for lunches.
  • Perform other duties as assigned.
EDUCATION and/or
EXPERIENCE
High School diploma or General Education Degree (GED), 1 year related experience and/or training; or equivalent combination and experience.
PHYSICAL DEMANDS
  • Occasional lifting of packages that may exceed 25 lbs.
