POSTION SUMMARY
: Responsible for coordination of external and internal communications via the main telephone switchboard. Responsible for greeting all visitors and potential/existing patients. Responsible for creating and maintaining treatment assessment schedule as well as collating patient charts and data entry.
RESPONSIBILITIES
Greets and assists incoming patients and visitors. Operates the switchboard's multi-line telephone system. Identifies "first priority" populations and provides them with an assessment within 48 hours of initial contact. Identifies "second priority" populations and provide them with an assessment within 72 hours of initial contact. Coordinates with client the first available, convenient assessment date and time. Coordinates the flow of patients through the registration process. Ensure that patients are seen in the appropriate order to promote positive customer service. Maintains a calendar of all scheduled assessments. Prepares appointment reminder notices for clients to be given in person. Records patient payments and places payments and receipts in the safe. Processes patient charts on a weekly basis. Works with counselors to ensure chart is complete and all forms are signed. Screens and directs incoming calls to the correct recipient. Enters lab orders into the Tri-Lab software. Assumes the responsibilities of the Office Manager in his/her absence when needed. Maintains waiting area in an orderly appearance so that it is safe, sanitary and secure. Provides excellent service to all customers by responding to customer requests/issues in a proactive and timely manner. Displays positive communication skills. Verify insurance benefits for potential clients Performs all job functions in a professional manner. Performs all job functions consistent with confidentiality regulations, ethical practices and Agency polices and mission. Presents and maintains a professional image in dress, behavior, and work habits. Promotes a positive and pleasant attitude conducive to the workplace that enhances and furthers the Mission, Vision and Values Statement. Other duties as assigned
KNOWLEDGE AND SKILLS REQUIRED
Skills in establishing and maintaining effective working relationships with patients, staff and the public. Ability to provide sincere interest necessary to work with the patient population as well as exhibiting caring and respectful attitudes toward patient. Skill in use of standard office equipment including but not limited to computers and telephone system. Must thrive in a fast-paced, team environment. Demonstrate strong oral and written communication skills. Strong organizational skills. Exceptional telephone etiquette and customer service skills. Knowledge of insurance billing procedures Must be available to work Saturday's as needed. (5:00am-9:30am) Basic computer skills. Demonstrate strong oral and written communication skills. EDUCATION
High School diploma or equivalent experience.
EXPERIENCE
One-year work experience as a receptionist or in the clerical field preferred.
CERTIFICATE/LICENSE
: Appropriate certification may be a requirement of the position.
Benefit Summary:
All full-time employees are eligible for insurance on the first of the month after 30 days of employment. Benefits include medical, dental and 401K participation. We also offer an accrual of 4 weeks of paid time off per year. There is an annual discretionary bonus given as well after completing 1 year of service. Full-time employees are also eligible for short/long term disability and term life insurance.
