Administrative Assistant / Client Services Coordinator Position Overview Extra Help Agency is seeking a friendly, organized, and dependable Administrative Assistant to support our clients and daily office operations. As the first point of contact for many clients, you will help create a welcoming and professional experience while keeping schedules, communications, and client records organized. This position is ideal for someone who enjoys helping people, communicates confidently, and can manage multiple responsibilities with accuracy and discretion. Key Responsibilities Reception and Client Service Welcome clients, visitors, and vendors in a warm and professional manner. Answer and direct calls using a multi-line telephone system. Monitor voicemail and respond to client inquiries promptly. Assist with new-client intake and establish electronic and physical client files. Maintain ongoing client relationships through reminder calls, follow-up calls, and handwritten cards. Provide courteous, patient service to clients who may need additional guidance. Insurance Support Participate in three-way calls with clients and insurance companies to address customer-service needs. Help clients navigate questions involving prior authorizations, denials, pharmacy concerns, and other insurance-related matters. Document client interactions and ensure unresolved matters receive appropriate follow-up. Escalate complex or compliance-sensitive matters to the appropriate licensed agent or team member. Administrative Support Schedule appointments and maintain staff calendars. Manage incoming and outgoing correspondence, including email and mail. Maintain accurate electronic and physical filing systems. Perform data entry and document-management tasks. Order office supplies and maintain inventory. Coordinate routine office maintenance requests. Provide general administrative support to team members as needed. Required Qualifications High school diploma or equivalent. Experience using Microsoft Word, Excel, and Outlook. Strong written and verbal communication skills. Excellent organizational and time-management abilities. Professional telephone etiquette and customer-service skills. Ability to prioritize and manage multiple responsibilities. Accuracy and attention to detail when entering data and maintaining records. Ability to handle confidential client and business information with discretion. Positive attitude, dependability, and willingness to learn. Comfort using standard office equipment, including printers, scanners, and fax machines. Health insurance license will be required within the first year. We pay the cost. Preferred Qualifications Previous administrative, reception, or customer-service experience. Experience working in an insurance, healthcare, or professional office.
