Job Description
Job Overview We are seeking a professional and personable Front Desk Receptionist to serve as the first point of contact for our organization. The ideal candidate will possess excellent communication skills, a welcoming demeanor, and strong organizational abilities. This role involves managing front desk operations, providing exceptional customer service, and supporting administrative functions to ensure smooth daily activities. The successful applicant will demonstrate proficiency in office management tools and a commitment to maintaining a positive and efficient environment. Full-Time will include full benefit package and possibly 4 10-hour days. Part-Time may includes some evenings and occasional Saturdays. Both positions will include providing Deep TMS and Spravato treatments (training provided). Responsibilities Greet visitors and clients warmly, ensuring a professional and friendly first impression. Manage multi-line phone systems, directing calls accurately and courteously. Handle incoming correspondence, including emails, mail, and deliveries, with attention to detail. Maintain organized filing systems, data entry records, and documentation for easy retrieval. Support office management tasks such as calendar management, appointment scheduling, and basic bookkeeping using QuickBooks or similar software. Assist with clerical duties including proofreading documents, preparing reports, and managing office supplies inventory. Provide customer support by addressing inquiries promptly and professionally via phone or in person. Utilize computer skills across Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace to complete daily tasks efficiently. Uphold excellent phone etiquette while managing busy front desk operations during peak hours. Perform general administrative duties to support team members and ensure seamless office functioning. Skills Strong proficiency with computer literacy including Microsoft Office Suite and Google Workspace applications. Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment. Demonstrated experience in office management or administrative support roles. Exceptional customer service skills with a professional demeanor at all times. Bilingual abilities are highly desirable to serve diverse client populations effectively. Familiarity with multi-line phone systems and proper phone etiquette is essential. Experience with clerical tasks such as typing, data entry, filing, proofreading, and calendar management. Previous experience as a mental health or medical receptionist is preferred but not required. Strong time management skills coupled with the ability to handle multiple responsibilities efficiently.
