Office Assistant / Receptionist / Bookkeeping Support About Handy Maids LLC Handy Maids LLC is a growing, locally owned cleaning company that has proudly served Anderson and the surrounding communities since 2014. We are a close-knit team that believes in treating our clients and employees with kindness, respect, and compassion. Our office can be busy, and no two days are exactly the same. We are looking for someone dependable, organized, friendly, and able to help keep things running smoothly behind the scenes. Position Overview The Office Assistant/Receptionist will often be the first person our clients speak with, so a friendly attitude and excellent communication skills are essential. This position will assist with answering phones, scheduling, customer communication, invoicing, bookkeeping, and general office organization. The right person will be comfortable handling several responsibilities at once, solving everyday problems, and communicating with clients and cleaning technicians in a professional and understanding manner. Responsibilities Answer and direct incoming calls using a multi-line phone system Greet clients, applicants, vendors, and visitors warmly and professionally Respond to emails, text messages, voicemails, and online inquiries Schedule cleaning appointments, walkthroughs, and client follow-ups Communicate schedule changes and important job information to clients and team members Enter and maintain accurate client, job, and scheduling information Create and send estimates, invoices, and payment reminders Assist with bookkeeping tasks using QuickBooks Record payments, expenses, receipts, and other financial information accurately Help monitor outstanding invoices and follow up on past-due accounts Maintain organized electronic and paper filing systems Prepare documents, checklists, spreadsheets, and reports Proofread written communication for accuracy and professionalism Track office and cleaning supply inventory Assist management with daily administrative needs and special projects Maintain confidentiality when handling employee, client, and financial information Help keep the office welcoming, organized, and running efficiently What We're Looking For Previous office, receptionist, administrative, or bookkeeping experience is preferred Experience with QuickBooks is strongly preferred Experience with Jobber or similar scheduling software is helpful but not required Comfortable using Microsoft Word, Excel, email, spreadsheets, and online systems Strong organizational and time-management skills Excellent written and verbal communication Professional and friendly phone etiquette Ability to multitask and adjust when schedules or priorities change Strong attention to detail and accuracy Dependable, punctual, and able to work independently Comfortable communicating with both clients and employees Willingness to learn, accept feedback, and ask questions when needed Able to handle challenging conversations calmly, kindly, and professionally Trustworthy and responsible with confidential and financial information Our Ideal Team Member We are looking for someone who takes pride in their work and genuinely enjoys helping people.
