Overview We are seeking an energetic and organized Front Desk Receptionist to be the welcoming face of our office. This vital role involves managing front desk operations, providing exceptional customer service, and supporting administrative functions to ensure smooth daily activities. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills, ready to create a positive first impression for visitors and clients alike. Duties Greet visitors warmly and professionally, ensuring they feel welcomed and attended to promptly Manage multi-line phone systems, directing calls efficiently and courteously while maintaining excellent phone etiquette Handle incoming correspondence, emails, and inquiries with clarity and professionalism Maintain organized filing systems, data entry records, and manage document proofreading to ensure accuracy Support office management tasks such as calendar management, appointment scheduling, and basic bookkeeping using QuickBooks or similar software Assist with clerical duties including typing, photocopying, faxing, and maintaining office supplies inventory Provide customer support by addressing questions or concerns promptly and effectively while demonstrating strong organizational skills Qualifications Proven experience in office administration or clerical roles, preferably as a receptionist or personal assistant Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment Bilingual abilities are a plus to serve diverse client needs effectively Familiarity with multi-line phone systems, data entry, filing procedures, and basic bookkeeping (QuickBooks experience preferred) Exceptional customer service skills with professional phone etiquette and a friendly demeanor Ability to handle sensitive information discreetly while demonstrating strong time management and proofreading skills Previous experience in medical or dental reception is advantageous but not required; training will be provided for specific industry needs Join us as a Front Desk Receptionist and become a key contributor to our welcoming office environment!
