Job Summary We are seeking a dynamic and friendly Front Desk Agent to serve as the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and ensure smooth administrative workflows. Your energetic approach and organizational skills will help create a positive environment for visitors, clients, and team members alike. This paid position offers an exciting opportunity to develop your office management expertise while supporting daily operations with professionalism and enthusiasm. Duties Greet visitors, clients, and staff with a warm, professional demeanor, ensuring a positive first impression. Manage multi-line phone systems efficiently, directing calls accurately and courteously. Handle incoming correspondence, including emails and mail, with attention to detail and promptness. Maintain organized filing systems, data entry records, and ensure all documents are proofread for accuracy. Utilize computer skills across Microsoft Office Suite, Google Workspace, and other office management tools to support administrative tasks. Assist with calendar management, appointment scheduling, and coordinating meetings for staff or management. Support office operations by managing supplies inventory, performing clerical duties like photocopying and proofreading, and maintaining cleanliness of the reception area. Provide customer support by addressing inquiries professionally and offering assistance as needed. Support bookkeeping tasks using QuickBooks or similar software to track expenses or invoices when required. Demonstrate excellent phone etiquette while managing inquiries from diverse callers in a bilingual environment if applicable. Qualifications Proven experience in office management or administrative roles with strong clerical skills. Demonstrated proficiency in computer literacy including Microsoft Office (Word, Excel), Google Workspace (Gmail, Calendar), data entry, and filing systems. Experience with multi-line phone systems and excellent phone etiquette. Strong organizational skills with the ability to prioritize tasks effectively and manage time efficiently. Bilingual abilities are highly desirable to serve diverse client needs better. Previous experience as a receptionist in medical or dental settings is a plus but not required; relevant personal assistant experience is also valued. Knowledge of bookkeeping software such as QuickBooks is advantageous for supporting financial tasks. Excellent proofreading skills combined with attention to detail in all written communication. Ability to handle customer service interactions professionally while maintaining a positive attitude in a fast-paced environment.
