Job Description
This is a support staff position acting as receptionist for the Center, answering telephone calls, taking messages for staff, greeting, and assisting consumers and members of the public in communication with agency staff. This position schedules appointments, gathers client information, assists in maintaining medical records, conducts general word processing, copying, filing, transports records between buildings, and general clerical duties. This position provides first contact between the public, potential clients, and the center. Appropriate business attire and appearance is expected. Communication with all contacts is to be maintained in a business professional manner that conveys kindness, respect, and helpfulness.
Primary Job Duties and Responsibilities:
Act as receptionist for the Center. Enter data on computer as assigned. Word process documents as assigned. Word process from dictation. Copy and distribute materials. Make appointments for center staff as required. Answer phones and return phone calls in a timely manner. Assist with client needs, including answering clerical questions and helping to complete paperwork as needed. Maintain all center and client information in a secure and confidential manner. Adherence to center confidentiality policy is an absolute requirement. Credential and Experience Requirements A high school diploma or equivalent is required for this position. Be able to communicate effectively in written and spoken English language. Operate all general office equipment. Utilize personal computer-based word processor with demonstrated proficiency. Operate other data-oriented computer programs as assigned. Possess ability to act competently as a receptionist. File records. Additional Helpful Qualifications Ability to communicate in other languages. Ability to communicate using American Sign Language. Competency Expectations Staff will meet competency expectations, including integration of evidence-based practices and completing required certifications which will be conducted in all the following manners, but not limited to, in-person training, online training, webinars, seminars, workshops, and self-directed training. All training, certifications, and competencies will be documented by completion certificates when available and maintained by the Human Resources Department.
