Job Description
Position Overview We are seeking a professional, organized, and detail-oriented Receptionist / Office Support Assistant to join our team. This entry-level position serves as the first point of contact for clients and visitors and plays an essential role in supporting daily office operations. The ideal candidate will possess excellent communication skills, strong organizational abilities, and a commitment to maintaining confidentiality while providing exceptional client service. Key Responsibilities Answer incoming phone calls and direct them appropriately. Manage client communications through phone, email, and in-person interactions. Maintain calendars and schedule appointments. Confirm upcoming appointments with clients. Assist with client intake and onboarding processes. Open new client files and scan documents into the system. Maintain and organize physical and electronic records. Screen, prioritize, and direct calls and correspondence to correct staff and management. Prepare copies, compile documentation, and assist with general administrative tasks. Create and organize client files. Provide general office support and perform other duties as assigned. Qualifications Required High school diploma or equivalent. Strong organizational and time management skills. Excellent verbal and written communication skills. Ability to multitask and work effectively in a fast-paced environment. Proficiency with Microsoft Office Suite (Word, Outlook, Excel). Strong attention to detail and accuracy. Ability to handle confidential and sensitive information with discretion. Professional demeanor and customer service-oriented attitude. Preferred Previous receptionist, administrative, customer service, or office support experience. Experience working in a professional office environment.
