About Us Vita Organica Supplements, a dietary supplement manufacturer is launching in Bogalusa, Louisiana. We will produce functional honey sachets, powders, gummies, and capsule products for our own brands and for contract manufacturing customers. Our facility is launching in the coming weeks. This role is the front door of the company and the backbone of the office. The Role Front of house, you are the first person anyone meets. How the lobby looks and how you greet people is the first impression of a company. Behind the desk, you keep the everything moving in the right directions. You issue purchase orders, process vendor bills, send customer invoices, and chase receivables. You are the person who notices that an order went out 47 days ago and nobody has paid it. What You'll Do Front Office & Reception Greet and sign in all visitors, vendors, contractors, drivers, and auditors; issue badges and coordinate GMP visitor requirements. Maintain the visitor log as a controlled record. Receive and distribute mail, packages, and courier deliveries. Keep the areas clean, stocked, and presentable at all times. Order and manage office supplies and PPE/consumables for office staff. Accounts Payable & Purchasing Create, issue, and track purchase orders for raw materials, packaging, supplies, equipment, and services. Enter and code vendor bills in the accounting system; prepare payment runs for owner approval.
Maintain vendor files:
W-9s, certificates of insurance, payment terms, contact records Track open POs and follow up on late deliveries, backorders, and pricing changes Monitor recurring expenses, utilities, subscriptions, and service contracts Accounts Receivable & Collections Know who owes what, for how long, and why. Work closely with Sales. Follow up with Sales on outstanding accounts. Apply incoming payments (ACH, check, credit card, wire) and reconcile deposits. Support credit application processing and new customer setup. Bookkeeping & Records Maintain clean, current books in QuickBooks. Compile documentation for tax filings, sales and use tax, and annual reporting. Maintain organized digital and physical filing so any document can be produced on request. Office Administration & General Support Serve as the go-to for day-to-day office issues: printers, phones, internet, supplies, building services. Coordinate with vendors for facility services (janitorial, pest control, waste, uniforms). Support onboarding paperwork for new hires and maintain confidential personnel files. Assist with payroll administration, timekeeping records, and PTO tracking. Provide administrative support to production and quality teams as needed, including document filing, scanning, and printing of controlled forms. Handle sensitive customer, formula, and financial information with strict confidentiality. What You Bring Required 1+ years of combined bookkeeping and front office or administrative experience Hands-on experience with accounts payable and accounts receivable, including collections Proficiency in QuickBooks (Online or Desktop) or a comparable accounting system Strong Excel skills — you can build and maintain a tracking sheet without help Purchase order experience and comfort reading invoices, packing slips, and receiving documents Excellent written and verbal communication; you can chase a late payment without damaging the relationship Genuinely organized. Details do not slip past you, and you follow up without being reminded Professional presence and warmth with visitors, vendors, and employees at every level Discretion with confidential financial, customer, and personnel information Preferred Payroll processing experience Bilingual English/Spanish Physical Requirements Primarily seated office work with regular movement throughout the facility; ability to lift and carry up to 25 lbs (supplies, packages, files); comply with GMP dress code when entering production areas.
