Receptionist Job Description:
Shear Influence Hair Salon is seeking a Receptionist to join our team. The ideal candidate will be friendly, energetic, organized, and able to multi-task. This position is responsible for answering and directing calls to clients, checking voicemails, taking messages, scheduling appointments, processing payments, and maintaining office files. This position will also assist with other clerical duties as assigned.
Requirements:
High School Diploma or Equivalent (Required) 1 year of clerical experience (Preferred) Ability to work independently and meet deadlines Proficient in Microsoft Office Suite (i.e., Word, Excel, Outlook) Knowledge of office equipment (e.g., printers and fax machines) Must be able to pass a criminal background check and drug screen
Duties:
Answer incoming calls and direct them appropriately to the appropriate person. Greet all visitors with a smile and an "I'm glad you stopped by" greeting. Maintain office sanitation in the bathroom by mopping floors and using paper towels to sweep floors. Send out email notifications for upcoming meetings or events. Maintain office files by filing documents into appropriate areas using filing systems such as binders and folders. Scan documents into computer system for processing. Update calendar as needed. Schedule clients' appointments as needed. Provide administrative support as needed during the client's visit when they are scheduled for an examination or physical therapy appointment. Maintain records of client appointments and schedule follow-up appointments with clients. Answer all incoming calls, route calls to appropriate staff members as needed and provide appropriate notifications to staff members when cancellations occur (e.g., cancelations on patient appointments or doctor's appointments). Process payments for various insurance carriers (Healthcare). Enter data into computer system for billing purposes (Medical). Prepare financial reports for various carriers (Healthcare). Assist in maintaining the security of the building by following safety procedures outlined by the building management team. Perform other related duties as assigned or directed by management.'
